Syncad ("we," "our," or "us") is committed to protecting the privacy of all users across our suite of products. This Privacy Policy explains how we collect, use, store, share, and safeguard your information when you use the Syncad Platform, which includes our mobile applications and web portals (collectively, the "Services"):

  • Syncad Parents – for parents and legal guardians to monitor their student's academic activities, school communication, and bus tracking.
  • Syncad Teachers – for school teachers and staff to manage academic responsibilities including attendance, assignments, exams, and parent communication.
  • Syncad Driver – for school bus drivers to manage trips, track routes in real time, and report incidents.
  • School & Platform Administration Portals – for authorized school administrators and our internal team to manage school operations, secure platform access, and facilitate overall service delivery.

By accessing or using any of our Services, you agree to the practices described in this Privacy Policy.

1. Information We Collect

We collect information to provide, manage, and improve our educational and management tools. The information we collect may include:

A. Personal & Account Data

  • Contact Information: Phone number and email address used for account registration, verification, and communication.
  • Profile Details: Names, profile pictures, date of birth, and associations (e.g., student-parent relationships, teacher-class assignments, driver-vehicle assignments).
  • Authentication Data: Secure credentials like PINs. Any biometric data (Face ID / Touch ID) used for login is stored locally on your device and is never transmitted to our servers.

B. Educational & Administrative Data

  • Academic Records: Attendance, exam results, syllabi, and assignments created and inputted by the educational institution.
  • Operational Information: Leave applications, fee payment statuses, library records, and general administrative details required by the school to operate efficiently.

C. Communication Data

  • Platform Messaging: Direct messages, broadcast announcements, event notices, and shared documents facilitated through the platform's communication portals.

D. Location & Transportation Data

  • Real-Time Tracking: During active designated bus trips, the Syncad Driver app collects continuous location data (GPS coordinates) to enable live tracking for parents and school administrators.
  • Parents App Location Handling: In the Syncad Parents app, location access is used only for map display and ETA-related calculations while viewing transport screens. Parents app location is not stored in our backend as historical tracking data.
  • Trip Activity: Boarding/alighting status, trip histories, assigned routes, and driver-reported safety incidents.

E. Device & Technical Information

  • Usage Data: Device model, operating system, network connectivity status, and general interactions with the platform to help us maintain stability and improve performance.
  • Notification Tokens: Identifiers necessary to securely deliver push notifications to your mobile device.

2. How We Use Your Information

We strictly use collected information to facilitate the educational environment and ensure safety:

  • Service Provision: To verify users, manage school records, display academic progress, and operate the platform smoothly.
  • Safety & Transportation: To provide real-time bus tracking to parents and admins, coordinate routes, and manage incidents.
  • Communication: To deliver timely school updates, important alerts, and enable parent-teacher collaboration.
  • Platform Improvement: To monitor system reliability, secure user accounts, prevent fraud, and enhance overall platform design.

3. Data Sharing & Third-Party Services

We never sell, rent, or trade your personal information.

A. Educational Institutions (Data Controllers)

The platform acts as a service provider (Data Processor) for your enrolled school. The school controls the administrative and academic data and dictates how it is managed within their internal operations.

B. Trusted Service Providers

We utilize trusted, industry-standard third-party infrastructure to deliver our services securely:

  • Cloud Hosting & Storage: To securely store databases, media, and application data natively in the cloud.
  • Authentication & Notifications: To verify login credentials (e.g., OTP delivery) and send push alerts.
  • Map Services: To render mapping tiles required for the live bus tracking feature.

These service providers operate under strict confidentiality agreements and may only process data as instructed by us to maintain the platform.

4. Mobile App Permissions Required

Depending on your user role and the features you access, our mobile apps may request the following device permissions:

  • Notifications: To receive school announcements and trip updates (Parents, Teachers).
  • Biometric Services: To allow secure, password-less login without transmitting your biometric data (Parents, Teachers).
  • Storage/Photos: To optionally upload/download profile pictures or assignment documents (Parents, Teachers).
  • Location: To facilitate live bus tracking and route navigation (Driver) and view maps (Parents).
  • Background Services: To maintain reliable GPS tracking during active school bus trips even when the app is minimized (Driver).

You maintain full control over these permissions and can revoke them at any time via your device's system settings (note: revoking permissions may disable certain app features).

4A. Location Data Disclosure

This section explains exactly how location data is handled in our mobile apps for transportation safety and route operations.

  • What we collect: Precise device location (GPS latitude/longitude) from the Syncad Driver app during assigned trip operations; location may continue in the background while a trip is active.
  • Parents app location use: If granted, location in the Syncad Parents app is used transiently for ETA/map context and is not retained as stored location history in our systems.
  • Why we collect it: To provide live school-bus tracking for parents and school administrators, support safe route navigation, and help resolve transport incidents.
  • When we collect it: Primarily during active trip sessions and related transport workflows; not for advertising.
  • How we share it: Location is visible only to authorized users within the Syncad platform (such as linked parents and approved school staff) and is never sold.
  • User choice: You can deny or revoke location permission in device settings, but location-dependent features (live tracking, route updates) may not function.

5. Data Security & Retention

  • We employ industry-standard encryption protocols for data transmission and storage to protect against unauthorized access or alteration.
  • Access to user data is strictly controlled through role-based permissions, ensuring that individuals (e.g., parents, teachers) only see information relevant to their authorized scope.
  • Data is retained for as long as is necessary to provide the services to the educational institution, or to comply with the school's own legal and record-keeping obligations.

6. Children's Privacy

Our Services are built to be operated by adults (parents, guardians, teachers, administrators, and drivers) – not independently by children. We do not knowingly collect personal information directly from children. All student-related data is inputted and managed securely by the authorized educational institution.

7. User Rights & Data Removal

Because your school functions as the Data Controller, requests regarding accessing, correcting, or deleting your personal data must primarily be directed to your school's administration.

Upon receiving a verified request from a school to delete data or an account, we will securely remote the requested data from our active systems. Note that certain institutional records (such as accounting logs or official academic histories) may need to be retained by the school to fulfill legal obligations.

8. Legal Compliance & Policy Updates

Our platform is designed to align with major global safety and privacy guidelines, including App Store requirements, the Information Technology Act 2000, and general data protection principles.

We may periodically update this Privacy Policy to reflect evolving features or legal requirements. Continued use of the platform constitutes acceptance of any updated terms.
